University Archives: Mission Statement, Acquisition Policy, and Access
Mission Statement
Special Collections and University Archives, a
division of the Stony Brook University Libraries, acts as the University's
official, archival repository and is responsible for identifying, acquiring,
maintaining and preserving records (regardless of media format) and
materials of enduring legal, fiscal, administrative and historical
value
which have been created or received by the University and its designated
representatives during the course of appointed duties.
Acquisition Policy
Special Collections and University Archives is responsible for preserving
Stony Brook University's documentary heritage. In accordance with
this responsibility, the University Archives acquire documents and
materials of enduring (permanent) legal, fiscal, administrative and
historical value that have been created or received by the University
and its designated representatives. The Department preserves, maintains
and provides access to these materials on behalf of the University
community.
The University Archives works cooperatively with administrative and
academic departments on campus to identify and preserve documents
and materials of permanent value. Documents and artifacts are added
to the University Archives in accordance with established departmental
transfer procedures including departmental transfers, gifts, bequests
and purchases.
Decisions regarding the disposition of materials is determined by
staff. Items may be de-accessioned only with the approval of the
Head of Special Collections and University Archives; reasons for
de-accession are: poor or irreparable condition; duplication; privacy
violations; and any legitimate reason as outlined by archival standards
and practices.
Access
Special Collections and University Archives strives to provide full access to the University records within its custody. All collections are open to researchers, faculty, staff unless restrictions have been requested by the donor. Material that has been designated as "closed" or "restricted" has been done so in accordance with state and federal confidentiality and privacy guidelines. Staff also reserves the right to close collections or portions of collections until such time as they have been processed.
